Ten workbooks. Every part of your evidence.
Audit workbooks that show where you stand today, a set-up that gets your team using them, and mock inspections that test the result.
Each tile updates as audits are completed. Red items feed straight into the action plan.

A random sample shows what is really happening, not only what has been tidied up.
Find the problem you are living with
Each of these starts with a day-to-day problem. Choose one to see what inspectors look for and which workbook to start with.
Inspectors can arrive without warning
A call on a Tuesday, and a scramble to find supervision dates, training records and last quarter’s audits across three folders.
What inspectors look for
Evidence that the service checks its own quality as a routine, not as a reaction. This sits under Regulation 17, good governance.
How Hava helps
- One dashboard that shows where every audit stands today
- A dated audit history held in one set of workbooks
- A first audit and action plan, so you know the gaps before anyone else does
Start with
Audits are scattered across paper, Word and Excel
Forms in the office, a template from a previous job and a spreadsheet only one person understands.
What inspectors look for
A consistent method: the same checks, done the same way, giving results you can compare month to month.
How Hava helps
- Ten workbooks with the same layout, so anyone can pick up where someone left off
- Live RAG dashboards that update as audits are completed
- Weighted scoring that shows which gaps matter most
Start with
Actions are found, then forgotten
An audit finds the problem. Three weeks later nobody remembers who was meant to fix it.
What inspectors look for
Evidence that issues are acted on, and that the service learns from what it finds.
How Hava helps
- An action plan in every workbook
- An owner and a due date on each action
- A status you can review in supervision or a management meeting
Start with
Medication errors repeat
A recording gap spotted at month end, long after it could be put right.
What inspectors look for
Safe care and treatment (Regulation 12): medicines handled, recorded and stored safely, and a clear response when something goes wrong.
How Hava helps
- An audit covering administration, storage, errors and stock
- Errors tracked over time, so patterns show up
- Findings turned into actions with owners
Start with
Supervision and training slip
Supervision dates drift in a busy month, and the training matrix turns red before anyone notices.
What inspectors look for
Staff who are supported, trained and competent (Regulation 18, staffing).
How Hava helps
- A supervision tracker showing completed sessions and what is overdue
- A training matrix showing who is trained and what is due
- A dashboard you can read in a minute at the start of the week
Start with
Safeguarding and incidents are not learned from
Incidents are logged, but nobody looks across them for patterns. A concern raised in March is still open in May.
What inspectors look for
Concerns recognised, reported and followed through (Regulation 13), with learning recorded.
How Hava helps
- Workbooks that track a concern from report to outcome
- Trends across incidents, not just single entries
- Learning recorded and actions closed
Start with
Capacity and consent paperwork is patchy
Assessments exist for some people, best-interest decisions for others, and nobody is sure who is due a review.
What inspectors look for
Decisions made lawfully and recorded (Regulation 11, consent), with deprivation of liberty safeguards handled properly.
How Hava helps
- A workbook for capacity assessments and best-interest decisions
- A workbook for authorisations, conditions and renewal dates
- One view of who is due for review
Start with
Support plans no longer describe the person
The plan was written at admission. Since then the person’s needs, wishes and routines have changed.
What inspectors look for
Care that is centred on the person (Regulation 9), with plans that are reviewed and acted on.
How Hava helps
- A support plan audit that checks quality and review dates
- Random record audits to test what is written against practice
- Actions to update plans, with owners

Custom tools for your service
The ten workbooks are the start. Services also need audits for their own risks, so we build them to order, in the same layout your team already knows.
Falls risk audit
Falls, near misses, risk assessments and what changed afterwards.
SALT audit
Speech and language therapy guidance, swallowing plans and whether staff follow them.
Nutrition and hydration
Weights, food and fluid charts and follow-up.
Infection prevention and control
Cleaning, PPE and outbreak readiness.
Pressure care
Skin checks, repositioning records and equipment.
Your own audit
Any check your service needs, built to match how you record it.
Tell us the risk. We scope the tool, agree the price in writing and deliver it inside the three-month set-up or on its own.
Get it set up properly
Tools only help when the team uses them. Setup gets your service working with them from the first week.

What we do not claim
No tool can promise a rating.
Our workbooks and mock inspections show you the gaps and give you a way to close them. Hava Capital is independent and is not affiliated with the Care Quality Commission, and the outcome of any inspection depends on your service.
Questions about the workbooks
What format are the workbooks in?
Excel. Each is an eight-sheet workbook with a live RAG dashboard, weighted quality scoring, an action plan and random record audit tabs.
Do you stay on after the three months?
No. We are paid to set the system up and leave. After three months your team runs it. A retainer is optional if you want ongoing review.
What is in Inspection-Ready Setup?
Audit tools configured for your service, staff onboarding, a first audit with an action plan, and three months of support before handover. The fee is £1,095 per month for the three months (£3,285 in total), per service.
What is a mock CQC inspection?
A simulated inspection against the five key questions: safe, effective, caring, responsive and well-led. It ends with a written findings report you can act on.
Can you build a tool that is not on the list?
Yes. Falls risk, SALT, nutrition and hydration, infection control and others. We build them to match how your service records its work and agree the price first.
What do the retainers include?
Review calls and further mock inspections through the year, on an Essential or Premium tier. Ask us for the details of each.
Do the workbooks guarantee a rating?
No. They show you where you stand and track your actions. Hava Capital is independent and not affiliated with the CQC.
